Do I need to prepare a risk assessment?
It's sensible for any exhibitor to carry out a risk assessment covering their participation at the show, and taking into consideration risks to own staff, contractors, other exhibitors and members of the public. The risk assessment process encourages best HSE practice, and in the unlikely event of an accident involving your stand or equipment, the fact that you have carried out the exercise will undoubtedly be helpful in any subsequent action. Show management will need to see a copy of the risk assessments for all space-only exhibitors, but not for shell scheme or pop-up exhibitors unless the display involves an unusual risk - e.g. combustion, moving parts or dangerous liquids. What insurance cover do I need?
All exhibitors are required to have an adequate third-party liability insurance policy in place to cover potential exposure to own staff, contractors, other exhibitors and members of the public. Show management does not require to see a copy of your insurance policy, but by signing the terms and conditions governing the exhibition (which all exhibitors are required to do before starting to build up) you accept liability. The vast majority of companies have blanket insurance cover in aplce which covers exhibiting. There are also many brokers that offer one-time insurance policies for a modest fee - UK financial services legislation means that we cannot recommend any particular company, however a Google search for 'exhibitor insurance' will bring up several options, and these policies will also include theft from stands etc if required.

What insurance cover does show management provide
The organisers will put in place a global third-party liability policy covering its own liabilities and responsibilities, and a policy to cover enforced cancellation of the event. All other risks, including theft, damage to property etc, are the responsibility of individual exhibitors

Inside and outside display space
Exhibitors who have large and intersting display items that won't fit on their stand (e.g. trailers, wind turbines etc) are welcome to display these in either the internal or external display areas. Please contact Paul Stott or Andy Ballagh for more information (see Contacts).

Lit stoves
The show organisers (MGE) and venue owners (AECC) may at their discretion allow working stoves to be displayed; however these may normally only be lit at certain times of the day and will be subject to a rigorous risk assessment covering fire risk, emissions, heat, protection against burns and any other relevant HSE concern. Such displays must be set against the back wall of the exhibition and the organisers may require them to be tested and checked for HSE the day before the show opens to the public. Notwithstanding any prior approval or risk assessment provided, the organisers and/or venue owners retain the right to order the immediate shutdown of any such equipment which at in their sole opinion either presents an unacceptable HSE risk, or is causing a nuisance to other exhibitors and visitors (heat and smoke emissions etc). In the event that a shutdown is required the exhibitor will have no right to reimbursement for space costs etc. For more information please contact Paul Stott (see Contacts).

Breakdown arrangements
The hall will be closed at 22.00 on Thursday 22 May and will reopen at 08.00 on Friday 23rd May and remain open that day until breakdown is complete
